A rota that catches mistakes for you

Build the week for each site and publish it to everyone's phone. As you go, the rota catches mistakes for you: a double booking, somebody on annual leave, somebody who said they are not available, too many hours in a week, too little rest between shifts, a long shift with no break, and a certificate the shift needs that the person does not hold on that date. You see it straight away, before the rota goes out, so building the week is a breeze.

A manager builds next week's rota. It notices that one nurse is on annual leave and that a healthcare assistant's basic life support is out of date on the day, each is put right as the week is built, and the finished rota goes out to everyone's phone.

Training and registrations, always in date

Keep every certificate your team needs on their profile: first aid at work, basic life support, manual handling, infection prevention and control, safeguarding, information governance and fire safety. Professional registrations sit there too, whoever the regulator is: the GPhC for pharmacy, the NMC for nurses and midwives, the GDC for dental teams, the HCPC for health and care professionals and the RCVS for vets. Each carries its expiry or renewal date, reminders go out before it is due, and one screen shows who is in date and who is about to lapse. Your own training runs in the app too: build a course from written notes, files, videos and a quiz, give it to a whole role, and see who has finished it.

A carer's manual handling certificate turns amber a month before it expires, a reminder reaches her phone and her manager, the rota will not put her on a shift that needs it once it has lapsed, and her record goes back to green when the course is done.

Who is on site right now

The register shows who is clocked in at every site this minute, with their role, so you can see the right people are on before you open. It is built from real clock-ins rather than the rota, so a late start shows up straight away. Staff clock in on a tablet you already own, with a code and a PIN, or on their own phone with a location stamp, and every clock-in lands on the same timesheet, split by site, ready for payroll.

A carer clocks in on their phone as they arrive at the home, and a moment later they appear on the register of who is on site, with their role, one person after another.

Right to work, DBS and signed policies

Right-to-work checks and DBS certificates sit on each person's file with expiry dates and reminders. Send a contract or a policy for signature on a phone, and each signature is kept with who signed, when, and which version they signed.

A policy goes to a nurse's phone and she signs it on screen. Her staff file then shows it signed, with the time and the version, beside her right-to-work check and DBS certificate and their dates.

Which healthcare settings is it for?

Any setting that runs a rota of trained people: pharmacies, hospitals, GP surgeries, dental and vet practices, opticians, care homes, clinics and more. Nothing in it is tied to one setting: you name your own roles and your own certificates.

Can it track professional registrations and first aid?

Yes. Add a registration or a certificate with its renewal or expiry date, whether that is GPhC, NMC, GDC, HCPC or RCVS registration, first aid at work or basic life support, and reminders go to the person and to you before it is due. Mark a shift as needing one and the rota catches it when you book somebody who does not hold it. Certificates come with the Pro plan.

Will it catch me booking someone without the right training?

Yes. The moment you assign the shift, the rota shows that the person does not hold what the shift needs on that date. A manager covering an emergency can still go ahead knowingly, and if your policy is stricter, one setting makes a missing certificate stop the booking instead.

Can staff clock in without a machine on the wall?

Yes. Any tablet you already own becomes the clock-in point on site, and staff can also clock in on their own phones with a location stamp. If a phone has no signal, the clock-in is saved with the time it was made and sent when signal returns.

Does it handle several sites?

Yes. Each site has its own rota and register, staff can work across several, and you can see every site at once. Growth covers up to three sites and Pro has no limit.

Is this a clinical or patient system?

No. It runs your staff: rotas, clocking in, timesheets, leave, training and documents. It does not hold patient records or prescriptions and does not connect to NHS or regulator systems, so you run it alongside your clinical system.

What does it cost?

Free for up to 10 people at one site, with no time limit and no card. Paid plans cover your first 30 people for a monthly fee, then a set price for each extra person. Certificates, courses and staff files come with Pro.
