OtisIO for festivals and live events

Run your event crew without living on the radio.

Communication is the hardest part of any event. OtisIO puts every briefing, task, check and fault report on your crew's phones and keeps a written log of all of it, so the work gets done and you can see it was, without a call for every job.

Free package for up to 10 people. No credit card required.

Updated November 2026

A member of the crew clocks in on their phone at the gate, and a moment later they appear on the register of who is on site, with their role, one person after another.

The problem

A radio call about a broken barrier, another about a bar that needs a cleaner, a briefing shouted across a field, and a hundred casuals who were never told. Half of it is forgotten by the next shift and none of it is written down. When something goes wrong, nobody can say who knew what, or when.

Your whole crew, in one place

From the first contract to the last pack-down

Everything a site team needs to know and do, on their phones and filed as it happens.

Know who is on site

Everyone clocks in on their phone, and you see a live register of who is on site right now, with their role. Accreditation covers the event days, and this covers the rest.

Bring on casuals fast

Send each person their contract to read and sign on their phone, and collect their right to work evidence the same way. Both are filed on their record, with reminders before anything runs out.

Site briefings that land

Post a briefing to everyone, or just a team, a location or a role, and see exactly who has read it, with a nudge for those who have not. Each briefing lands as a push notification on every phone, so it is seen in seconds.

Health and safety onboarding

Send inductions, risk assessments, method statements and toolbox talks to the whole crew at once. Each person signs on their phone, and you have a record of who signed what and when.

Emergency updates

When something changes, one announcement goes to the people who need it as a push notification, and you can see who has seen it. At the muster point, tick people off on a phone and see who is still missing.

Tasks for the right person

Assign a job with a due time, a description and a photo requirement. Everyone sees what is theirs, you see what is done, and a task left open does not disappear into a radio channel.

Daily checklists

Opening, safety and close-down checks repeat on the schedule you set and assign themselves to whoever is on shift. A missed check is visible the same day, not after the event.

Report what the site needs

Anyone can raise a request with a photo: a damaged barrier, a bar that needs a cleaner, a toilet block that has run out. It is prioritised, assigned and tracked through to fixed.

Security rounds with evidence

Tag checkpoints around the site and security tap each one as they walk the round. Every visit is timed, and a missed checkpoint flags itself the same shift.

Radios and kit signed out

Issue each radio, key or tool to a named person with a photo and a return date, and sign it back in. Anything overdue is flagged, so you know where every radio is at pack-down.

01

Security rounds you can prove

Write NFC tags from the app, stick them at the fence line, the gates and the generators, and set when each round is due. Your security tap each tag as they pass and the round records itself, checkpoint by checkpoint. When a round misses a checkpoint, or does not happen at all, it is flagged automatically, with a record of what was visited and when.

A guard on a night patrol taps each checkpoint tag on their phone, the manager's board fills in as they go, and the one checkpoint that was skipped is flagged as missed on its own.

02

Everyone briefed and signed on before they step on site

Send the site safety briefing, the emergency procedure and the contract to a new casual's phone before their first shift. They read and sign on screen, and your staff file records who signed, when and which version, beside their right to work check. Nobody starts a shift unbriefed, and you can show it.

A policy goes to a nurse's phone and she signs it on screen. Her staff file then shows it signed, with the time and the version, beside her right-to-work check and DBS certificate and their dates.

Build and break

Plan the build and the break-down before day one

The event days have their accreditation. The build and the break usually do not, and that is when you most need to know who is on site and what is left to do. Plan both in advance, hand each crew its own list, and watch it get done.

The build, with the site crews

Set out the build as a rota and a task list, with a lead for each crew: stage, power, fencing, bars, signage. Each crew sees its own jobs and times on their phones, and you see what has been done as it happens.

Who is on site, every day

Everyone clocks in on their phone as they arrive, so you always have a live register of who is on site and in which role. That covers the build and the break-down days that accreditation usually leaves out.

The break-down, with the cleaning teams

Give the cleaning teams and the break-down crew their own pre-planned task lists, with photo proof and a due time. Checklists repeat each day, a missed one shows the same day, and radios and kit are signed back in before anyone leaves.

A written log of everything

Keep your coordinators in sync, and off the radio

When communication is difficult, the job that gets forgotten is the one only said out loud. Here every briefing, task, fault report and check is written down, timed and filed by site and day, and team chat keeps its history with the business. Your coordinators see what has been done without asking, and the crew get on with the task in front of them.

Questions from event organisers

Do you recruit staff for us?

No. OtisIO does not advertise jobs or take applications. It takes over once you have your people: contracts signed on the phone, right to work evidence collected and filed, safety briefings signed off, and a rota and clock-in for the days they work.

How do I know every casual read the briefing?

Announcements show exactly who has read them, with a nudge for those who have not. You can send one to everyone or to a team, a location or a role, and it arrives as a push notification on every phone.

Can security prove they walked the site?

Yes. You write NFC tags from the app and place them at each checkpoint. Guards tap them as they pass, each visit is timed, and a missed checkpoint or a round that never started is flagged automatically.

Can we track radios?

Yes. Each radio is issued to a named person with a photo of its condition and a return date, and signed back in. Anything past its return date is flagged, and equipment sign-out comes with the quote for the right plan, so we will confirm it for your event when we talk.

What if a casual has not installed the app yet?

The app also works in any browser and installs to a home screen in two taps, so a new casual can be on in a minute. From then on every briefing and task reaches them as a push notification.

What does it cost?

There is a free package for up to 10 people. For a bigger crew the price is from £5 per person per month plus VAT, given by quote. Book a call and we send your quote and set everything up with you.
